Feature Overview: Report Validation Warnings
Updated
When you upload a report, it has to match what the assignment asks for. To prevent failed submissions and the delays that follow, the system checks for likely problems — such as incorrect report types or mismatched FHA numbers — before final submission.
How the Validation Warning Works
When you upload a report, the system compares key details (like report type and FHA case number) against the assignment. If it detects a potential mismatch, a warning dialog appears. This warning is not a hard stop — you can still proceed with submission — but it is designed to help you catch and fix issues early.
Example: Report Type Mismatch
If the report type in your upload (e.g., "1073") does not match what the lender ordered (e.g., "1004"), you’ll see a warning. This mismatch is one of the most common reasons for failed submissions.
Why does this happen?
- Sometimes the broker or borrower orders the wrong report type for the property.
- After the inspection you may conclude that a different report type is needed, and prepare that one instead. Having seen the property, you are often better placed than the order to know which type it requires.
What should you do?
- Contact the lender immediately: If you believe the report type should be changed, send an Urgent Note to the lender right after inspection. Request clarification or an update to the order details.
- Note: Sometimes, changing the report type may result in an additional fee for the new report, so check the Fees tab for any change after the report type is updated.
Example: FHA Case Number Mismatch
For FHA orders, the FHA case number must be correct and consistent between the report and the order details. The FHA case number should be 11 characters and follow the required format.
What should you do?
- Check the FHA number: Make sure the FHA case number in your report matches the order details exactly.
- If there’s a mismatch: If the order has an incorrect FHA number but your report is correct, contact the lender with an Urgent Note and request an update to the order.
- Format: Ensure the FHA case number is 11 characters and properly formatted.
What to do when you see a warning
- Review the warning dialog: Read the details of any validation warning carefully.
- Check your report: Make sure the report type, FHA case number, and other critical fields match the assignment.
- Contact the lender if needed: Use the Urgent Note feature to clarify or request updates to the order.
- Correct your report: Fix anything on your side before submitting. If the mistake is on the order rather than in your report, ask the lender to change it with an urgent note — order details are not yours to edit.
- Proceed or cancel: You can choose to proceed with submission (accepting the risk of rejection) or cancel and review your report.
Why This Matters
- Prevents failed submissions: Catching mismatches early avoids costly delays and rework.
- Supports compliance: Ensures reports meet lender and regulatory requirements.
- Raises problems early: Flags a mismatch while there is still time to ask the lender about it, rather than after a rejection.
Final Recommendation
We strongly recommend resolving any critical issues flagged by the system before submitting your report. That avoids processing delays and a failed submission, and gets your report through first time.
Tip: Always double-check assignment details and communicate with the lender if you notice any discrepancies. Your expertise and attention to detail help ensure successful report submissions!
